UX Research

Background

Ro Creative Company (also known as ROC CO.) is a wedding and event planning company based in Toronto, catering primarily to high-end clientele who aspire for opulent and meticulously designed weddings.  

The founder, Roenna Tara, faces several challenges in her business operations:  

  • Reliance on a diverse array of communication tools: Tools such as WhatsApp, Instagram, and Canva are used, leading to fragmented communication.
     

  • Dispersed data across multiple platforms: Managing and synchronizing data across these various platforms demands substantial time and effort. 

  • Challenges in maintaining effective communication and professionalism: The use of multiple tools can threaten both the communication efficiency and the ability to maintain a high level of professionalism. 

Problem Definition

Lack of efficiency in business operation due to a diverse array of platforms and tools for management and communication with clients.

Research Goal

To explore and investigate the typical wedding/event planning process from the perspectives of both planners and clients, so that we understand their challenges and frustrations, particularly concerning the tools they use.

Research Methodologies

User Interviews

A total of 15 planners and clients were interviewed, including: 

  • 5 local wedding planners 

  • 5 destination wedding planners 

  • 5 event planners 

  • 5 mid-budget clients 

  • 5 high-budget clients 

All interviews were conducted remotely via Zoom.

Considering the client’s available resources, we recommend incorporating new features into the existing company website, rocreativeco.com.  

Our recommendation revolves around adding separate pages for planner (our client Roenna) and clients, which are available on both mobile and desktop. 

Planner’s Page Features

  1. Personal Dashboard:

    Fully customizable planning space for a planner, with sections including:

    • Calendar: Displays scheduled meetings

    • To-Do List: Documents current progress and tasks for the planner

    • Weddings: Features sections for active and finished weddings

    • Documents: Contains all uploaded files such as vendor contracts and invoices

  2. Chats with Clients
     

    • Calendar: Displays scheduled meetings 

    • Active Chats: Includes all active wedding chats, with starred messages and a robust search function even within attached documents 

    • Chat History: Archives all interactions with clients for Roenna's reference and others 


  3. Wedding Pages with customized dashboards for planners 

    • Customization: Roenna can personalize the client’s page, choosing widgets and information to include 

    • Phases: Based on Roenna’s typical wedding planning procedures, we will suggest some tools for her and clients to utilize (e.g., mood board widget for wedding theme selection) 

    • Preview: A feature that allows Roenna to preview how an updated dashboard will appear for her clients 

Client’s Page Features

  • Calendar: Displays scheduled meetings 

  • Client Wedding Dashboard: Displays information based on the current planning phase 

  • Chat Bot: Offers various options, such as checking the timeline, reviewing the to-do list, and scheduling meetings to assist clients 

  • Messaging tool: Direct communication channel with the planner

Success Criteria

  • Reduction in the time allocated to the digital solution in comparison to the total time spent on other apps. 

  • Reduced number of apps the client uses. 

  • Reduced simplified steps in the process or workflow. 

  • Enhanced user satisfaction levels determined through surveys and feedback analysis.
